Job Summary

We are seeking a detail-oriented and dependable Office Administrator to support our heavy highway construction operations. This role is critical to keeping our office running smoothly and supporting field and project teams through administrative, accounting, and compliance tasks. The ideal candidate is organized, proactive, and comfortable working in a fast-paced construction environment.

Key Responsibilities

  • Provide daily administrative support to project managers, superintendents, and executive staff
  • Manage incoming calls, emails, and general office communications
  • Assist with project documentation including contracts, submittals, permits, and compliance records
  • Support payroll processing (certified payroll experience a plus)
  • Track and process invoices, purchase orders, and vendor paperwork
  • Maintain organized digital and physical filing systems
  • Coordinate onboarding paperwork for new hires and assist with HR documentation
  • Prepare reports, spreadsheets, and correspondence as needed
  • Support bid preparation and project closeout documentation
  • Ensure compliance with DOT, OSHA, and other regulatory requirements

Qualifications

  • Bachelor’s degree required (business administration, accounting, construction management, or a related field preferred)
  • 2+ years of office administration experience, preferably in construction or heavy highway projects
  • Familiarity with construction terminology, job costing, or project-based accounting is a plus
  • Strong organizational skills and attention to detail
  • Proficiency in Microsoft Office (Excel, Word, Outlook); experience with construction software is a plus
  • Ability to manage multiple priorities and meet deadlines
  • Strong communication and interpersonal skills
  • Professional demeanor and ability to work effectively with office staff and field personnel

Work Environment

  • Office-based with frequent interaction with field and project staff
  • Fast-paced, deadline-driven construction environment
  • Occasional overtime may be required to meet project demands
